The challenge
What needed to change
Our client — a global e-commerce solutions provider offering retailers supply chain management, logistics, and order fulfilment services — needed to modernise the way it priced and managed shipping carrier resale rates. Acting as a carrier broker, they quoted rates to clients factoring in countries of origin and destination, item size and weight, service levels (e.g. next-day delivery), and additional surcharges. Before this project, every carrier rate was manually entered into spreadsheets and new client quotes were compiled by hand. The process relied entirely on individual expertise to identify optimal carriers and apply appropriate mark-ups — a twenty-year-old workflow that was error-prone, time-consuming, and unable to scale.

We delivered a system for uploading and storing carrier rate cards — each detailing charges for every combination of package weight, origin, destination, service level, and surcharges, with effective start and end dates.
Intelligent rate card mapping
A visual mapping tool allows rapid onboarding of new rate cards from common file formats. The tool suggests field mappings using AI and validates data against expected value ranges, with each mapping saved as a reusable template. This reduced a previously laborious data-entry task to a fast, reliable process.
AI-assisted quote configurator
The quote configurator guides users through compiling sell rates for each client, considering multiple sales and cost factors. Artificial intelligence suggests optimal rate configurations — most profitable, lowest price, or fastest service — and allows users to conversationally adjust parameters to recalculate rates in real time. Configurable mark-up percentages can be applied at rate card or item level, with minimum mark-up validation before finalisation.
Visual comparison and decision support
Draft rate cards can be compared visually — highlighting price differences when alternate carriers or parameters are applied — giving pricing teams the confidence to select the most commercially suitable option for each client.
Workflow, approvals and document generation
A workflow engine manages document approvals: finalised pricing documents are routed to designated approvers with review dates and reminder notifications. Customer details and branding are merged with finalised prices, terms, and conditions to generate a formal pricing document delivered as both an HTML page and a downloadable PDF.
An integrated notification service sends expiry and renewal alerts for rate cards, ensuring pricing always reflects current carrier costs and maintaining a full audit trail of reminders, approvals, and amendments.
